Checklist for organizing a PM World event

Whenever possible, hold the meeting on the first Tuesday of the month. Recruit the team. Hold a Kickoff Meeting. Choose roles: Project Manager, Program Chair, Publicity Chair, Logistics Chair, Followup Chair. 

Extra people can be on committees headed by these Chairs Program sub-team finds a presenter or panelists plus a panel moderator. Change the day and date as needed to accommodate the presenter/panelists. Logistics sub-team creates the PayPal button and payment page.

Logistics sub-team finds a venue. We are trying to obtain a standard venue (considering Adobe, AMD, First Republic) where all meetings will be held. Followup sub-team creates the post-event survey. Publicity sub-team creates the MeetUp with picture(s) and bio(s) of the presenter or panelists. Each team member clicks on Yes. Logistics sub-team selects a door prize and Publicity adds info about it to the MeetUp. 

Program sub-team asks the presenter/panelists to click on Yes. Publicity sub-team advertises on FullCalendar (maybe; it has not been helping very much) Publicity sub-team posts on the PM World Yahoo Group and as many other places as possible. Each member of the team commits to convince a colleague to click on Yes. Logistics sub-team brings handouts, nametags, door prize, container for business cards, receipts for fees/donations/memberships, certificates and/or gifts for the presenter/panelist and a sign-in sheet to the event. 

If people are allowed to pay at the door, Logistics team collects the payments. If there is no fee, include a sign and container for donations. Publicity sub-team takes notes and photos during the event. 

Publicity sub-team posts the notes and photos on the MeetUp and the notes on the Major Successes. Followup sub-team distributes the survey and collects and shares the results. Followup sub-team deposits any fees or donations collected at the event.

Detailed Description of PM World

Project Management World provides professional development including events, courses, resources, networking, volunteer opportunities, and enjoyment for Project Managers, Program Managers, Project Coordinators, and people aspiring to these professions. Of course, anyone is welcome to join.

Most members are in Silicon Valley. Many live/work in other areas around the globe. A white paper on PM Certifications, Certificates, and Degrees is available for $5. Two eTextbooks are available at $20 and $0. One of the textbooks is available as a bound book for $29.95. An eBook on Cloud-Based tools has just been released.

Eleven Lessons Learned about Agile Hardware Development by Kevin Thompson. The Scrum framework was originally developed to provide an effective approach for planning, performing, and tracking the development of software products. Our research has identified that Scrum applies equally well to the development of hardware products, including hardware products with embedded or associated software. 

This presentation provides lessons learned in applying Scrum at Thermo Fisher Scientific to the development of analytical equipment for analysis of chemical samples. This project demonstrated that Scrum is indeed useful for hardware development, and revealed key differences in the application of Scrum between hardware and software projects. Kevin Thompson, Ph.D., CSP, PMP, PMI-ACP, is a physicist, former software developer and project manager, and current researcher and consultant in the field of Agile Project Management. As Agile Practice Lead for cPrime, Dr. Thompson develops training materials and consulting standards, and trains the company’s Agile trainers. He has led Agile software and hardware transformations for numerous companies in a wide variety of industries. —————————————————— 

Connect the Dots: Linking Agile Strategy to Execution by Gail Ferreira PhD, CSP, PMP, SPC4, LSSBB: In this presentation, the tactics and strategies for merging agile strategies to create portfolios, programs and projects will be discussed. The use of lean methodologies and tools that can be used to create and execute an awesome agile strategic plan will be discussed. The CUE model will be introduced, that blends lean methodologies with agile strategic management (Consolidate Activities, Use Lean Metrics that Matter, Eliminate Waste), Three different strategy execution methodologies with real world case studies (Intel/Google): Hoshin Kanri, Objectives, Goals, Strategies, Measures (OGSM), Objectives and Key Results (OKR) will be presented. Gail Ferreira is an award winning author, agile thought leader, accomplished agile coach, and practice director. 

Gail is the Agile Practice Leader at MATRIX in San Francisco, leading and directing activities for the Center of Excellence. Gail likes to employ creative and novel lean agile methods, models and techniques to engage individuals and organizations through agile transformations. Gail is particularly passionate about creating agile learning organizations that embrace continuous learning and change management. Gail regularly speaks at international agile conferences and professional groups related to agile project management, strategy and technology management. 

She has published peer reviewed journals and articles in award winning publications such as Agile Connection, Proquest Digital Dissertations, Refractive Thinker, IEEE, and Techwell. Gail also likes to lead and direct events including local meetups, professional development days for the Project Management Institute, and academic awards. PM World was formed January 1, 2014

History of PM World

PM World was formed January 1, 2014 from four other organizations, the oldest of which was formed in 2004 by Nancy McKereghan and Alan Tsuda. From January 2014-April 2017, there were only two officers: Ali Daimee, Treasurer, and Jacky Hood, Director. A large number of other people formed event and project teams. See Successes:

They decided that the monthly events would include one in-person, one webinar, one career night, and one casual networking. They also decided to add Corporate Services. For details of both Member Services and Corporate Services see https://www.fielddayso… 

In May 2017, officers were elected to manage Member Services so that Dolores, Jacky, Judith, Marie and others could focus on Corporate Services. From May 1, 2017-October 31, 2017 the officers were Cathy Keys, Al Akin, Saira Hassan, Equbay Kiflay, Jane Yee, Julis Rybitska, and Jeannette Eaton. 

Bylaws were written, approved by the officers, and ratified by the membership at large. From November 1, 2017-April 30, 2018 the officers were Yossi Bar Ezer, Mark Eden, David Lok, Roger Smith, Pablo Chu, and Mindy Stone. These officers decided to change from four small events per month to four large events/year. Elected for May-October 2018 are Mark Eden, Joel Angeles, Cynthia Carley, and Jacky Hood.

Major Successes

PM World and PM PM SIG have had more than 100 events and projects since the founding in January 2004. Here are some highlights:: An online panel discussion entitled Project Management for BlockChain featured three experts. 

PM World published a white paper entitled Project Management Certifications, Certificates, and Degrees that is available to Premium Members. 2000 participants in the Project Management Skills for All Careers Massive Open Online Course (MOOC). 

We could have had more but registration was capped. A dozen PM World members led by John Donelan worked hundreds of hours to make the course a great success. We have converted it to a self-study course.

PMW Success Story

An outstanding 8-member team led by Bob Sawyer created the open-licensed textbook and submitted it for a Saylor grant: Project Management Skills for All Careers.

PM Skills for All Careers Instructors

Several highly experienced project managers with teaching experience have created this course. Some of them will be assisting during the course. None of these project managers decided at age 11 to become a project manager! They also started in other careers, became accidental project managers, and later professional project managers.

AgileBill Krebs developed the Project Environment Module. Agile, as his friends call him, has over 20 years of experience as a developer, performance engineer, and consultant, including work at IBM, Davisbase, and in the healthcare field. Since 2001, he’s used and taught Agile software development methods such as Scrum and lean to more than 2,000 engineers and managers worldwide. He’s presented at education and Agile conferences, and at IBM Research. Bill’s certifications include PMI-ACP, SAFe(tm) SPC, CSM/CSP, LSSYB, Innovation Games (R) CCA, and ICAgile ICP. He is a member of PMI, the Agile Leadership Network (ALN), Scrum Alliance, Agile Alliance, and ASTD. Bill’s postgraduate coursework includes classes from the University of Pennsylvania, University of Washington, 3dGameLab, and work on his master’s degree at Boise State University. 

Currently Bill is an Enterprise Agile coach in the healthcare industry and hosts an online Agile study group with over 200 members. Carl Rand developed the Scope and Visual Project Management Modules. He is an independent project management consultant and educator based in the San Francisco Bay area. Carl has worked for major corporations, including CA Technologies, NetApp, Intuit, Nortel Networks, Visa International, and IBM.

In these endeavors, he has extended his broad range of project management, consulting, and facilitation skills to help organizations assess risks, plan for business continuity, reengineer business processes, effectively manage project portfolios, and implement cross-functional enterprise programs. Carl holds an M.B.A. from Pepperdine University and a B.A. in marine biology from Occidental College. He has been a featured track and workshop speaker at several ProjectWorld conferences and currently teaches project management courses through UCSC Extension. His areas of expertise include project planning and control, risk assessment and mitigation, management consultation, mentoring, training, and curriculum development. 

He is an avid sailor and scuba diver and volunteers his time at the Monterey Bay Aquarium and the Pacific Grove Hyperbaric Chamber. Jacky Hood co-authored the Schedule Module. She served on the committee that developed the Project Management Body of Knowledge and taught Project Management at Foothill College. She is an author, engineer, entrepreneur, program manager, and technical support executive. Her current positions are Account and Engagement Manager at RightWave Inc., CEO of FieldDay Solutions, Inc., and Co-Principal of JJ Real Estate Leadership. Jacky holds a BSEE from the University of Nebraska and a Masters in Systems Engineering from Carlton University. 

Micki Jo Ashley co-authored the Schedule Module. She is a Project Manager for Customer Service and CRM Systems and has also served as a Hardware Manager, QA Manager and Systems Analyst. Her past employers include AER Worldwide, TMA Resources, and others. Micki Jo holds a Bachelor of Science in Business Administration from the University of Phoenix. John Donelan is the Project Manager for this course and helped develop Module 4. He is a program manager experienced in high technology companies. He has worked in multiple roles in Tandem Computers, Compaq Computers, HP and Cisco Systems in the US and Asia Pacific. His areas of expertise include high availability computing, leading cross cultural staff in complex projects and the introduction of new technologies into the enterprise. John holds MSc and BSc degrees from the University of New England in NSW, Australia. In his spare time he enjoys hiking and photography throughout the South West, California and the eastern Sierras. 

Ali Daimee developed the Budget module. He is a Senior Project / Program Management professional with a track record in organizing and directing over 25 multi-discipline global teams implementing 50+ complex embedded systems, enterprise applications and consumer electronics projects with high success rate. He has worked in various roles at Global enterprises such as Nortel Networks, Novell, Novellus, Compaq, Oracle, Sun Microsystems, Sega and Broadcom. He has contributed at these companies in the areas of Software and Hardware Design & development, Test Engineering & Quality, Project and Program Management, and Business Systems definition and development. Ali earned his BSc degree in Engineering from London University, England. 

He also holds a BSc degree in Mathematics. He completed his MBA course work at Ottawa University, Canada. He has also completed Project Management certification at UCSC, and SAP courses at NPU. Ali successfully completed his PMP certification in 2008 and has since taught several PMP preparation classes off and on-line. He has also instructed SAP classes at NPU and off-site MS Project classes for UC Irving. Ali has also been actively involved in TAP-a-PM, a Project & Program Management SIG since its inception. 

Rekha Raman provides logistics support for PM World courses. Recently Rekha was awarded Outstanding Long-Term Volunteer by PM World. She is PMP and CSM Certified. Rekha is Hosting Install Manager for Internap. In addition to Project Management, Rekha has working in Marketing and Technical Writing. Past employers include LitePoint and Cisco. Rekha received her education at Foothill College.

* Chooses the skill(s) to be enhanced as well as the meeting topic and meeting format * Finds presenters or panelists (who attend at no cost) if a presentation or panel is selected as the format * Creates discussion questions * Selects a white paper * Selects a door prize (usually a book related to the topic and costing $15 or less) * Thanks the presenters/panelists at the end of the meeting and by email later 

Marketing 

* Sets goals for registrations, attendance, revenues, and attendee satisfaction * Encouraged to find an event sponsor * Tries to get each member of the event team to register for the event and to bring at least one guest * Enhances the MeetUp page with bios and photos of the presenters and other interesting information * Sends one or two broadcast messages on the MeetUp, on the Yahoo Group, and on the LinkedIn Group * Advertises in other groups and locations if possible 

Sales 

* Marks Premium Members and Members of the Event Team as paid * Reminds others to pay for the event or become Premium Members * Thanks payers when the payments come in * Provides receipts for those who pay in cash at the event. * Sends resources if someone becomes a Premium Member 

Logistics 

* Chooses the venue * Creates name tags * Brings copies of the white paper – optional * Purchases the door prize – optional * Creates and prints a handout with the program, attendee list, information about PMW, and information about future meetings * Creates and administers an attendee satisfaction survey. The latter can be on Survey Monkey, on the MeetUp or on papers handed out in the meeting * Takes photos at the event and posts them on the MeetUp * Sends an email to attendees one or two days after the event with a link to the survey and the white paper * Reports on the results of the survey a few days later
